The state of collaboration has advanced today, ushering in a whole new era of how work actually gets done. In the information age, every employee, worker, contractor and supplier is awash in data, documents and files, and this data must not only be shared, it also must be worked on by many different parties, usually in different locations.

Simple Collaboration

The simplest collaboration tool is widely available at low cost, and is the simple wiki. Like the public Wikipedia, a private wiki is used to allow multiple people to collaborate on a document and keep track of revisions. These can be hosted on-site, although there are several companies that offer hosting of private wikis at low cost. Another simple type of collaboration is added as a feature to many common productivity applications; for example, the markup tool available in Microsoft Word.

The Data Format Problem

Ideally, collaboration software allows for many people to collaborate as needed, without regard to data format. Many Web-based collaboration tools, such as Google Docs for example, require only a Web browser, which alleviates the problem of differing data types. On a larger scale though, middleware platforms may fit the bill by allowing a broad platform to be used that allows special interfaces to be created to multiple applications. The middleware path may be awkward and require significant amounts of integration work, and may also cause some performance degradation.

The Virtual Meeting Model

Collaboration software is often integrated into different types of conferencing solutions, allowing for real-time meetings, collaboration and data sharing to take place over a common platform while at the same time, being connected with voice or video. Some of the more sophisticated video conferencing solutions incorporate hooks to external applications, allowing all participants to work together on a common document from a common application.
