Web Conferencing Solutions for Global Meetings

Web conferencing services have come of age, today delivering a range of sophisticated features at rapidly decreasing cost. Web conferencing is often used for training purposes, as well as for sales and other business meetings, or seminars (Webinars); either unidirectional or multidirectional and sometimes incorporating voice and video.

Web Conferencing Features

A web conferencing solution can incorporate several features, including a shared whiteboard which can be annotated in real time. In addition, another common feature is the ability to integrate presentation software with live web conferencing, with a slide presentation being offered in conjunction with the meeting and available for download by attendees.

More sophisticated secure web conferencing systems may also include application sharing, which is particularly useful for instructional meetings or for technical support sessions. Tech support can also be enhanced with the addition of remote control to interactive web conferencing sessions; the remote control allows a support agent to take control of the attendee’s desktop. For instructional sessions or tutorials, the ability to record and play back sessions is invaluable in creating archives of lessons, or allowing those who were unable to attend the live session to go back and view the recorded session.

Hosted Service or On-Premises

Web conferencing services have become common and inexpensive. Smaller users often prefer a hosted Internet conferencing service to deploying the conference in-house. This option often is available either by subscription or on an ad hoc basis, usually with very little or no up-front expense involved. The hosted version of web conferencing services allows for broader access to the higher-end web conferencing features, and allows small business users to take advantage of them almost immediately.

More frequent users of secure web conferencing may do better with an on-premises system. This however, does carry with it up-front expenditures, as well as an increase in administration requirements. If video will be incorporated into the web conference, it may also require an upgrade to bandwidth.

Security may also be an issue. Secure web conferencing is part of the hosted service, although you will want to make sure that the hosting company offers the opportunity to require participants to log in under a secure session. Other features to add to security may also include password control and encryption of stored sessions.
